Reporting obligations

Domesday (annual reports) are due by end April for NZ groups and end July for Australian groups.
Preferably, use the Exchequer Form 0809 though another format previously accepted by the Chancellor will also work.
If you ran any Australian events in May or June 2009, then you will need to manually calculate the new $2 event membership remissions.

After this Domesday report, all reeves must report using the Exchequer Form 0910. This includes the required reporting for kingdom levies and the new event memberships.
Please download this at the start of the year and send it in at the end of each financial quarter.

Stronger kingdom fund

The Council of the Purse welcomes submissions for assistance under the Stronger Kingdom Fund. Usually, submissions must be in to the Chancellor of the Exchequer by 1 May each year, for expenditure between the following July to June. In 2009 an additional round will close on 1 November, for expenditure between January and June 2010.

The concept is that groups can get matching funds to address gaps in their SCA culture. Specifically, the idea is to help bring expert visitors from other groups, to harness their energy and expertise.

By "matching funds", we mean that groups should find at least half the cost of the travel, and then Kingdom will match this. If your group will have trouble raising your share, consider holding a special fundraising event. It could be worthwhile asking Rowany for assistance from their Fighter Auction Fund, or seeking contributions from other SCA groups in your region.

By “experts”, we mean members of the peerages (knights, laurels, pelicans) or the polling orders (archers, fencers). If your real need is a herald or an equestrian who is not a peer, write in with your case and the Council may consider your proposal anyway.

Your submission should fit on one A4 page, in MS Word or OpenOffice, and should include a description of your need, then how your proposed solution will address this. The submission can be generic ("seeking funds for 3 laurels covering costuming, brewing and thaumaturgy") or specific ("for Sir Cumfrance and his armouring trailer").

The fund's guidelines are that the maximum contribution per group will be $500, with a planned Kingdom expenditure of $1000 per year.

There may be more groups seeking assistance than the funds available, so it's helpful if you can demonstrate value for money. For instance, if you hire a minibus, it may be possible to bring extra peers and perhaps some laurel apprentices or squires to help. It may be that one Laurel can offer several sessions to address more than one need. Or you could get letters of support (email fine) from nearby groups to demonstrate that they will attend and maximise the benefit.

Preferably, groups approved for these funds will cover the costs themselves, then submit receipts to the Exchequer for reimbursement. If that is not practical, an advance from the Exchequer will be arranged, and the group will need to acquit this with receipts later.
